Compensation: $20.00-$22.00/hour, plus vacation pay

Position Summary

The Sharbot Lake Family Health Team is seeking a Casual Medical Receptionist to join our team. This position provides administrative and front-desk support to ensure the clinic runs efficiently and patients receive timely, professional service. The role typically involves 7.5–22.5 hours per week, including two evening shifts and on-call coverage for both planned and unplanned absences of full-time staff.

Key Responsibilities

Reception & Patient Services

    • Greet and check in patients in a welcoming and professional manner
    • Answer incoming calls and direct inquiries appropriately
    • Schedule, confirm, and cancel appointments in coordination with clinical and administrative teams
    • Provide patients with information about clinic services and procedures

Administrative Support

    • Maintain accurate and up-to-date records in the Electronic Medical Record (EMR) system
    • Process and manage incoming and outgoing referrals, requisitions, correspondence, reports, forms, and other clinical documents as required
    • File, scan, and organize documents in accordance with privacy and confidentiality standards
    • Support clinical staff with administrative duties (e.g., printing, relaying information, follow-up scheduling)

Clinic Support

    • Provide administrative support during days and evening urgent/walk-in clinics
    • Assist in coordinating patient flow and triaging
    • Communicate effectively with clinical staff to manage appointment volume and expectations

General Duties

    • Adhere to privacy legislation (PHIPA) and clinic policies regarding confidentiality and data security
    • Contribute to a collaborative and respectful team environment
    • Perform additional duties as assigned

Qualifications & Skills

  • Proficiency in using EMR systems and office software (e.g., Telus PS Suite EMR, Microsoft Office)
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to remain calm and professional in a fast-paced, patient-centered environment
  • Reliable, punctual, and flexible availability (including evenings)
  • Knowledge of medical terminology and clinic workflows is considered an asset
